Important Customer Information: Migration from EWS to Microsoft Graph
Please choose one of the following two options now: migration in September or a temporary exception
Dear Sir or Madam,
Microsoft is gradually discontinuing access to Exchange Online via the existing Exchange Web Services (EWS) interface. Starting in October 2026, Microsoft will begin disabling EWS in Exchange Online, and by April 2027 at the latest, EWS will no longer be available. To ensure that piaX continues to work reliably with Microsoft 365, we are migrating the connection to the modern Microsoft Graph API.
For you, this migration primarily means one thing: piaX will remain future-ready, benefit from a more secure connection, and continue to support current Microsoft 365 services. At the same time, the migration also provides practical benefits for your users and your licensing structure.
What is changing?
The existing EWS connection will be replaced by a Microsoft Graph-based connection. This requires an update of the piaX components, administrative configuration within your Microsoft 365 environment, and migration of the mailbox data. The migration will be planned and carried out in a controlled manner to ensure that ongoing operations continue as smoothly as possible.
Your benefits from the migration
· piaX will use Microsoft Graph, the modern interface recommended by Microsoft.
· The connection will use a modern, certificate-based authentication method.
· After the migration, tasks will also be available in the Microsoft To Do app.
· The piaX admin mailboxes currently required can be removed once the migration has been completed successfully, allowing Exchange licences to be saved.
· The technical foundation will be aligned with Microsoft’s roadmap, ensuring long-term maintainability.
Important: Action is required
To ensure the continued operation of piaX, one of the following two options must be implemented:
Option 1: Migrate to Microsoft Graph in September
We recommend carrying out the migration together with us as early as September wherever possible. This provides sufficient time for preparation, technical configuration, updates, testing, and a controlled go-live. From our perspective, this is the best way to minimise risks and benefit from the new capabilities at an early stage.
Option 2: Define a temporary EWS exception
If the migration cannot yet be carried out in September for organisational or technical reasons, a temporary exception for the existing piaX application must be configured in your Microsoft 365 environment.
This exception is intended solely as a temporary solution and does not replace the migration to Microsoft Graph. Details on how to configure the exception can be found here:
Please note: Without migrating to Microsoft Graph or configuring the required exception in time, continued operation of the Exchange connection in piaX can no longer be guaranteed.
How does the migration process work?
- Agree on a suitable migration date
- Update the piaX Management Center to a version later than 3.2.300
- Configure the Microsoft Graph connection in Microsoft Entra ID, including the certificate
- Configure and test the Graph connector in the Management Center
- Migrate the mailboxes and configuration data
- Update the piaX add-in
- Carry out a final functionality test and transition to regular operation
Steps 1–7 should first be completed in a test environment and, following a successful functionality test, subsequently in the production environment.
Impact on your users
For users, almost nothing will change.
However, it is particularly important that the add-ins are updated to the latest version as soon as possible. If this is not done, data captured using older piaX add-ins can no longer be synchronised with proALPHA.
After the migration, tasks synchronised by piaX in Outlook will be available in a separate “piaX” subfolder and additionally in the Microsoft To Do app.
Our recommendation
We recommend migrating to Microsoft Graph as soon as possible. This will help you avoid short-term time pressure, reduce the risk of future service interruptions, and establish a modern technical foundation for piaX and Microsoft 365.
If this is not possible for you, please ensure that the required EWS exception is configured in good time.
